Terms of Service
Effective date: July 23, 2026. These Terms of Service (“Terms”) govern your access to and use of Scout Pilot at myscoutpilot.com and related apps, pages, and services (the “Service”) operated by Scout Pilot, LLC (“Scout Pilot,” “we,” “us,” or “our”).
By creating an account or using the Service, you agree to these Terms and our Privacy Policy. If you do not agree, do not use the Service.
1. The Service
Scout Pilot is a recruiting operating system for student athletes and families. Features may include athlete profiles, school and coach research, CRM tools, communications helpers, email connection features, camps/calendar tools, analytics, and AI-assisted drafting and guidance. Features may change, expand, or be discontinued over time.
Scout Pilot is a software and information tool. We do not guarantee athletic scholarships, roster spots, coach replies, admissions outcomes, or any particular recruiting result.
2. Eligibility and accounts
- You must provide accurate account information and keep it updated.
- You are responsible for safeguarding your login credentials and for activity under your account.
- If you use the Service on behalf of a minor student athlete, you represent that you are a parent/guardian or otherwise authorized to do so, and that you accept these Terms on their behalf where required.
- You must comply with applicable laws, school/athletic rules, and NCAA/NAIA/NJCAA or similar recruiting rules that apply to you.
3. Subscriptions and payments
Paid plans are billed through Stripe. Prices, features, and plan names may change. By starting a paid subscription, you authorize recurring charges according to the selected plan until canceled.
Unless required by law or expressly stated otherwise, fees are non-refundable. You can manage or cancel your subscription through available billing tools in the Service or Stripe customer portal. Cancellation typically stops future renewals; access may continue through the end of the current paid period.
4. Acceptable use
You agree not to:
- Use the Service for unlawful, harmful, or deceptive purposes
- Harass coaches, institutions, or other users, or send spam or abusive outreach
- Upload or share content you do not have rights to use
- Attempt to access another user’s account or data without authorization
- Reverse engineer, scrape, overload, or disrupt the Service except as allowed by law
- Misrepresent identity, athletic credentials, academics, or recruiting status
- Use AI outputs in a way that violates third-party rights or platform rules
We may suspend or terminate accounts that violate these Terms or create risk for the Service, other users, or third parties.
5. Your content
You retain ownership of profile information, media links, notes, and other content you submit (“Your Content”). You grant Scout Pilot, LLC a non-exclusive, worldwide, royalty-free license to host, process, display, and use Your Content solely to operate and improve the Service as you use it.
You are responsible for Your Content and for ensuring it does not infringe others’ rights or violate law.
6. Connected email and third-party services
Optional Gmail/Outlook connections and other integrations are subject to the third party’s terms and your permission grants. We are not responsible for third-party outages, policy changes, or data handling outside our control. Disconnect integrations at any time in the product.
7. AI features
AI features may draft emails, suggestions, summaries, social captions, and research content. Outputs can be inaccurate, incomplete, or outdated. You should review and edit AI-generated content before sending or relying on it. You remain responsible for communications you send to coaches or schools.
8. Intellectual property
The Service, including software, design, trademarks, and branding (including Scout Pilot), is owned by Scout Pilot, LLC or its licensors. Except for the limited rights to use the Service under these Terms, no rights are granted to you.
9. Disclaimers
THE SERVICE IS PROVIDED “AS IS” AND “AS AVAILABLE.” TO THE MAXIMUM EXTENT PERMITTED BY LAW, SCOUT PILOT, LLC DISCLAIMS ALL WARRANTIES, EXPRESS OR IMPLIED, INCLUDING MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT. WE DO NOT WARRANT THAT THE SERVICE WILL BE UNINTERRUPTED, ERROR-FREE, OR THAT RECRUITING OUTCOMES WILL MEET YOUR EXPECTATIONS.
10. Limitation of liability
TO THE MAXIMUM EXTENT PERMITTED BY LAW, SCOUT PILOT, LLC WILL NOT BE LIABLE FOR INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, OR ANY LOSS OF PROFITS, DATA, GOODWILL, OR BUSINESS OPPORTUNITY. OUR TOTAL LIABILITY FOR CLAIMS ARISING OUT OF OR RELATED TO THE SERVICE WILL NOT EXCEED THE AMOUNTS YOU PAID TO US FOR THE SERVICE IN THE TWELVE (12) MONTHS BEFORE THE CLAIM (OR $100 IF YOU HAVE NOT PAID).
11. Indemnity
You agree to defend and indemnify Scout Pilot, LLC and its officers, directors, employees, and agents from claims, damages, losses, and expenses (including reasonable attorneys’ fees) arising from Your Content, your use of the Service, your outreach to third parties, or your violation of these Terms or applicable law.
12. Termination
You may stop using the Service at any time. We may suspend or terminate access if you violate these Terms, fail to pay fees, or if we discontinue the Service. Provisions that by nature should survive (including ownership, disclaimers, limitations, and indemnity) will survive termination.
13. Governing law
These Terms are governed by the laws of the State of Texas, excluding conflict-of-law rules, unless mandatory local law requires otherwise. Courts located in Texas will have exclusive jurisdiction over disputes, except where prohibited.
If your preferred governing state differs, tell us and we can update this section.
14. Changes to these Terms
We may update these Terms by posting a revised version on this page and updating the effective date. Continued use after changes become effective constitutes acceptance of the updated Terms.
